Salary Range: Up to $60,000 annualized, commensurate with education, experience and qualifications.

Essential Functions

Job Summary

Under the vision and direction of the Director of Operations for Enrollment Marketing, Communications and System, the Operations Manager provides management of the daily operations of the department. This position is responsible for administering and managing daily project management while assisting with fiscal administration, contract management, and administrative operations for the team. This person must have great organizational and time management skills; as well as, interpersonal skills to interact with many individuals both on and off the team.

Core Responsibilities
  1. Project Management - Provides project management, utilizing the department's project management system, ensuring projects and tasks are meeting deadlines and team members have the information needed to accomplish the task at hand. Coordinate with internal teams (creative, enrollment marketing, enrollment communications, etc.) to support the development and execution of marketing and communications to support enrollment growth, ensuring timely delivery and quality output.
  2. Client Relationship Management - Fosters collaboration and strong working relationships with university offices and departments that request services within our team. Serve as the primary point of contact for assigned clients, building strong and lasting relationships based on trust and reliability. Conduct regular meetings and check-ins to provide updates, solicit information or feedback, and ensure client satisfaction.
  3. Office Operational Support - Assists with inventory management, purchases and requisitions, contracts, and organizing and coordinating activities and travel. Attends meetings and periodically serves on committees. Provide direct support to assistant and associate directors within Enrollment Marketing, Communication, and Systems by building projects and tasks for various campaigns and initiatives. Offer operational support to ensure our team is executing with a high degree of efficiency and accuracy.
  4. Quality Control - Assists with organizational reviews/assessments to ascertain level of departmental efficiency. Proactively identify potential issues and develop solutions to address them, ensuring smooth project execution.
  5. Communication & Reporting - Communicates project updates to leadership and assists with reports annually on team productivity and output.
  6. Documentation - consistently maintain internal documentation of daily process and procedures, as well as log executed deliverables.
  7. Assists with departmental projects and perform additional, relevant duties as assigned.

Required Qualifications
  • Bachelor's degree from an accredited university required.
  • Minimum of three (3) years of progressively responsible administrative and business management experience, preferably within a marketing/communications operation.
  • Additional experience may substitute for the required degree on a one for one basis.
  • Advanced experience with Microsoft Excel.
  • Proficient experience working with office operations or project management.
  • Proficient experience in Microsoft Office Suite.
  • Proficient experience working within a project management system.
  • Advanced project and time management skills.
  • Excellent writing and editing skills.
  • Excellent verbal communication skills.
  • Knowledge of producing marketing and communication activities.
  • Strong interpersonal skills who can work with various individuals and personalities.
  • Strong analytical and problem-solving skills with an open, creative mindset.
  • High degree of initiative, self-motivation, and resourcefulness.
  • Highly collaborative and eager to work with cross-functional teams.

Preferred Qualifications
  • Experience working within a marketing or communication office.

Working Conditions
  • Requires use of home wi-fi network and telephone.
  • Ability to travel to and from meetings, training sessions, or other business-related events.
  • Occasional after-hours and weekend work may be required.

Physical Demands:
  • Fairly sedentary work; sitting most of the time, occasionally walking on campus.

This position will require working both remotely in Texas and on campus (approximately five or more days on campus per month). Travel and parking expenses are the employee's responsibility. Applicants must be adaptable and open to working in both environments.
