We are currently looking for a Client Service Administrative Assistant to join our growing team!

In this key role you will receive callers, maintain visitor log in, communicate with customers, and provide clerical support to Management.

ESSENTIAL RESPONSIBILITIES:

  • Prepare, upkeep, scan, and file data records, and compile information requested by customers and others.
  • Keep records of customer interactions, process customer correspondence and file documents.
  • Follow communication procedures, guidelines, and policies.
  • Greeting and assisting visitors. Screen incoming calls/visitors with person called upon.
  • Identify and communicate customers' needs to the Laboratory Director and sales team to achieve satisfaction.
  • Operate computer to input and retrieve data.
  • Copy data and compile records and reports for departments.
  • Collect and distribute mail and messages.
  • Follow assigned series of processes, standard operating procedures and/or techniques in accordance with company policies/procedures and customer requirements.
  • Manage priorities and schedule such that individual goals as well as team goals are achieved with encouraged participation in the Team.
  • Responsible for the safety of oneself and others working within their area.
  • Responsible for the completion of required training.
  • Provide administrative support functions to assist the departments.
  • Operate and maintain office machines (including fax/print/copy machine, postage meter, label maker, etc.).
  • Receive a satisfactory evaluation of job performance.
  • Works with all personnel.
  • Work near laboratories containing biological fluids or stains and solvents.
  • Customer orientation and ability to adapt/respond to different types of characters.

MINIMUM QUALIFICATIONS:

  • High School Diploma or GED.
  • Training in general laboratory practices or equivalent combination of education and experience.
  • Basic knowledge of concepts and practices of a testing laboratory.
  • Training in general laboratory practices preferred.
  • One or more years of experience in a testing laboratory preferred.
  • A general working knowledge of 21 CFR, FDA, DEA, USP/NF, ICH, cGMP, cGLP and/or ISO standards and guidelines is preferred.
  • The ability to communicate clearly in English, both orally and in writing, with scientific and non-scientific personnel is required.
  • Strong organizational skills and ability to execute manual detailed tasks.
  • The ability to communicate effectively and demonstrate problem solving skills is required.
  • Ability to work with Microsoft Programs.
  • Must be able to operate and maintain office equipment including fax/print/copy machines, computer, and postage equipment.
  • Potential exposure to odors, fumes, airborne particles, hazardous chemicals, and microbiological pathogens.
  • Working knowledge of ISO 17025 Quality procedures.
  • Ability to regularly lift and/or move up to 25 pounds.
  • Able to maintain confidentiality.
  • Must be able to adapt to changes to improve company processes.
  • Ability to handle multiple tasks and work in a fast-paced environment.
  • Ability to work individually and with others efficiently and work under pressure and successfully function in a fast-paced environment.
