The Position

Job Description

SUMMARY

This position is responsible for enhancing the CEO's effectiveness by providing high-level administrative support and information management. Position requires the ability to handle a variety of complex and highly confidential matters.

MAJOR DUTIES AND RESPONSIBILITIES (ESSENTIAL FUNCTIONS)

Possesses a strong connection to the values of First United Bank. Demonstrates values daily and holds others to the same standards.

Promotes teamwork, cooperation, and collaboration, and displays a positive attitude toward the bank, employees, and policy and procedures.

Acts with a strong sense of integrity in all situations and has the ability to maintain strict confidentiality.

Increases effectiveness of CEO and assists him in completing desired goals - sets a high standard of integrity and possesses a strong sense of ownership.

Actively manages the CEO's workload by acting as a gatekeeper, and following up on meetings, deadlines, etc. Manages incoming calls and visitors and knows when to conserve Executives time.

Develops a process for organization to ensure success - Creates file management for both paper and digital work flow and manages corporate file system. Manages outlook calendar and other various appointments.

Coordinates, schedules, and prepares CEO for meetings. Prepares agenda and PowerPoint presentation, conducts necessary research, and briefs CEO in advance. Arranges travel/Corporate meetings and develops itineraries and agendas. Records minutes for certain designated meetings.

Monitors tasks delegated by the CEO to ensure results are achieved by agreed upon deadlines.

Compelled to serve others and satisfy internal and external customer needs by impacting their lives in a meaning way - has a true servant's heart.

Delivers first line of support to internal and external customers. Strong ability to handle and disarm disgruntled customers.

Assists Mortgage and Insurance Leadership Team in making consistent decisions by advising them of historical precedents; serving as a resource to the team.

Assists with CEO's personal matters as requested.

Manages communication and correspondence in a way that aligns with the purpose of First United Bank. Prepares written correspondence, various communication pieces, and reports for CEO with minimal direction.

Maintains organizational charts and ensures they are kept current.

ADDITIONAL DUTIES AND RESONSIBILITIES

  • Performs other duties as requested by CEO.
  • Completes all required compliance exams on a yearly basis.
  • Adherence to all First United Policies and Procedures.
  • Dresses professionally.
  • Recommends to supervisor possible methods to improve department.

EMPLOYEE SPECIFICATIONS

Education and Work Experience

  • Associates Degree or at least 4 years of banking experience or a related field.
  • Familiar with a variety of banking concepts, practices, and procedures.
  • Minimum of 5 years' experience in an administrative role, in support of an Executive Leader.

Technical/Functional Competencies

  • Strong understanding of the internal organizational dynamics, and familiar with who does what within the organization.
  • Proficient in a variety of computer programs including Microsoft Word, Excel, PowerPoint, and Publisher.
  • Ability to handle customer grief while recognizing systemic issues that require attention.
  • Requires excellent communication skills both written and verbal and ability to work with a wide range of stakeholders.
  • Strong organizational skills with attention to detail.
  • Requires strong sense of urgency to complete tasks.
  • Ability to work under pressure to tight deadlines and coordinate the input of others.
  • Mature, responsible, and handles confidential information appropriately.
