Events Coordinator

As a member of the Marketing team, the Events Coordinator is responsible for coordinating and supporting events that promote the company's diverse service offerings, drives lead generation and expands brand recognition. Works collaboratively across multiple business lines to create and enhance relationships with clients and prospects.

Essential Duties & Responsibilities:

  • Coordinates event logistics from end-to-end including registrations, onsite logistics, exhibits and signage, sponsorships, shipments, marketing material handling, transportation, F&B and client outreach. Events include tradeshows, conferences, meetings, hosted client activities and employee gatherings.
  • Interacts with venues, event organizers, contractors, and hotels on agenda and cost proposals until contract completion.
  • Prepares RSVP lists, nametags, marketing materials, packages, gift bags, registration lists, seating cards, etc., for events when needed. Responsible for shipping materials offsite.
  • As needed, provides on-site event support to ensure smooth execution. Travel to key industry events required (6-8 per year).
  • Ensures all event deliverables strategically position the company, support marketing goals and are completed in a timely manner.
  • Monitors event spend against budget and ensures programs are managed as allocated.
  • Conducts post event activities including recording updates in CRM system, post-event briefings, ROI reporting, budget reconciliation and post-event analysis.
  • Manages relationships with internal and external parties to promote the company. Works with external vendors such as designers, exhibit vendors and promotional suppliers. Serves as point of contact for industry associations.
  • Keeps marketing event calendar(s) up-to-date and disseminates information to internal stakeholders.
  • Researches new event opportunities that support the objectives of each business line.
  • Maintains a database of key events and sponsorships opportunities to support multiple business lines.

  • Proficient in establishing and maintaining strong working relationships with internal and external business constituents

Education and Experience:

Education: Marketing, Event Planning, Public Relations or equivalent work experience in a similar environment

Experience: One to three years of experience in events coordination, project management or marketing

Experience with HubSpot, Salesforce, SurveyMonkey, Canva and Monday.com preferred
