Job Description
 

The Program Assistant provides administrative support following all METI regulatory policies and guidelines in the support of business contracts. Works closely with the Program Manager to ensure successful planning, implementation and evaluation of programs and initiatives.

Duties:

  • Maintains day-to-day contact with company executives and senior staff, supporting them as required with any administrative tasks to include photocopying, filing, typing of documents, creation of materials, etc.
  • Collaborate with program managers to develop program budgets and monitor expenditures throughout the project lifecycle.
  • Provides contract administration support through the processing of government requests, drafting of cost proposals, review of government funding documents, and completion of appropriate internal and external distributions that includes maintenance and updating of the contracts library both electronically and in hard copy format.
  • Provide financial data and performance metrics to identify trends, risks and opportunities for improvement.
  • Supports the preparation and is sometimes the primary author of weekly, monthly, quarterly, and yearly contract funding reports, as well as flash reports when needed.
  • Responsible for the auditing of individual projects to include preparing and compiling all data needed.
  • Supports staff hiring requests through negotiation of final terms and supporting full onboarding process.
  • Supports marketing efforts with logistics to include the development of materials for meetings, trade shows, and briefings.
  • Monitors quality control and compliance of company wide processes, documents, as well as project objectives and deliverables.
  • Other duties may be assigned in support of the overall operations.

Additional Skills/Qualifications:

  • Bachelor’s Degree with a minimum of 2 years of administrative experience.
  • Proven experience in program management, including planning, implementation, and evaluation.
  • Outstanding verbal and written communication skills.
  • Highly organized with exceptional attention to detail.
  • Experience working with government agencies is a plus.
  • Comfortable conversing with executive business decision makers.
  • Independent, self-motivated, and success driven, yet able and willing to take direction.
  • Microsoft Office proficiency with a strong emphasis on Word, Excel, Outlook, and Access.
  • Strong Excel Skills
