                                                                                                                        Management Analyst

The Management Analyst assists the Administrative Officer (AO) with providing analysis of executive office workload management and providing analyses, reports, and statistical workload data. Gathers, organizes, and produces reports on a wide variety of program data at the direction of the AO. Assists with conducting a variety of staff studies concerning executive, administrative, and legal divisions, and program support effectiveness, developing an application of metrics for gauging organizational accomplishments and program performance. Arranges conferences and meetings. Assists the Public Affairs Specialist in organizing and coordinating print and broadcast media press conferences and interviews with staff members. Assists other executive office staff with special projects deliverables and requirements, and some other miscellaneous administrative support tasks.

Requirements:
  • Must be a U.S. citizen.  Must have the ability to prove U.S. citizenship. 
  • Security Requirement:  Successfully pass a Background Investigation (BI).
  • Reference Requirement:  Provide at least three (3) professional references that can provide work related information to the type of work described in this position.
  • Resume Requirement:  List the security clearance level (Background Investigation (BI), training, and certifications (if any) on resume.

Tasks, Duties & Responsibilities:
Assists the Administrative Officer (AO) with providing analysis of executive office workload management and providing analyses, reports, and statistical workload data by:
 
  • Gathers, organizes, and produces reports on a wide variety of program data at the direction of the AO. Uses statistical data to prepare reports, charts and graphs that provide the current status of each functional division withing the office.  Assists with conducting a variety of staff studies concerning executive, administrative, and legal divisions and program support effectiveness resulting from regulatory change.
 
  • Assists with developing an application of metrics for gauging organizational accomplishments and program performance; development of charts and graphs to depict resources, workload, and priority program trends; maintenance and application of databases regarding organizational programs to respond to queries and to provide information for review and analysis. Drafts reports, correspondence, proposals, issue papers and briefing materials regarding the nature and status of division initiatives and activities.
 
  • Arranges conferences and meetings. This includes preparing agenda, notifying participants, identifying any special information technology and audio-visual requirements, arranging meeting locations and coordinating with the administrative staff of setting up the room. 
 
  • Assists the Public Affairs Specialist in organizing and coordinating print and broadcast media press conferences and interviews with staff members. Provides news releases to print and broadcast media.
 
  • Assists other executive office staff with special projects deliverables and requirements, and some other miscellaneous administrative support tasks.




Required Knowledge, Skills, and Abilities:
 
  • The Contractor must have a High School Diploma or equivalent.
 
  • The Contractor must also have a minimum of at least 2 years’ experience in an administrative position.
 
  • The Contractor must also possess a working knowledge of current computer and other electronic databases.
 
  • Computer Skills:  Must have the ability to perform basic functions in software applications such as Microsoft (MS) Outlook, MS Word, MS Excel, MS PowerPoint, and Adobe Acrobat, and possess basic data entry skills while working with databases and specialized office systems. Communication skills are extremely important. Must work and interact professionally and effectively with all levels of staff.  Ability to meet established deadlines, follow attorney instructions, and work as a team player in a professional office. Skill in meeting and dealing with people in a courteous and tactful manner.
 
  • The Contractor must have excellent written and oral communication skills. The Contractor will be expected to communicate with the Administrative Officer, the Public Affairs Specialist, other agencies and executive office. The Contractor will also be expected to produce timely required written reports and analyses.
