Job Description:
Clerk I
The Unit Secretary/Clerk shall be appointed by and accountable to the Nurse Manager. Performs complex and routine clerical and secretarial work in areas including computer operations, scheduling, communicating with unit staff, staff in other units/departments and the public, receiving and distributing mail, completing work orders, book keeping and inventory control. Work involves compiling and tabulating data, checking documents for accuracy, transporting documents and/or stock and inventory, handling incoming and outgoing phone calls, recording meeting notes, completing reports and maintaining files. Provides support to the Nursing Services Department. May train others. Works under general supervision with moderate latitude for the use of initiative and independent judgment
Essential Job Functions:
Attends work on a regular and predictable schedule in accordance with agency leave policy and performs other duties as assigned.
Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.
Attends to office matters in a capable and courteous manner to assure efficient operations. Compiles information and statistical data and prepares necessary departmental reports, forms, and documentation. Communicates nursing data information or messages to nursing staff or external customers on request - Relays telephone messages to nurses or other departments, Locates nurses & writes letters/memos. Files employee information into personnel files accurately using established process to comply with facility policy. Enters, verifies, and retrieves data from computerized and hard copy record keeping systems to provide needed support. Types nursing service reports and correspondence using required software, and established formats to provide needed support. Maintains Nursing Service operations as requested using established procedures to ensure delivery of services. Orders office and general nursing supplies, submits work orders, retrieves and delivers mail, makes copies & files reports. Responsible for general housekeeping duties within nursing office. Performs other duties as assigned.

Knowledge Skills Abilities:
Working knowledge of Business English, spelling, punctuation, arithmetic, and office practices and procedures.
Knowledge of general office procedures and business or program terminology
Knowledge of records administration and maintenance techniques and procedures to maintain files and records.
Ability to communicate verbally and in writing in a clear and concise manner.
Ability to make decisions and use good judgement when dealing with critical incidents.
Ability to react quickly and calmly in an emergency situation.
Ability to be flexible in handling work assignments.
Works harmoniously with other staff and the general public to generate productive, cohesive work settings and positive public and inter personal relationships.
Observes and obeys all safety rules applicable to all aspects of facility and departmental operations to minimize self-injuries or injuries of clients and co-workers. Does not endanger the safety or health of self or others, and enhances the Safety and Health program of Denton State Supported Living Center.
Ability to enter data into the computer using the appropriate software.
Skill in Microsoft Word, Outlook and Excel
Ability to compose letters and memorandums.
Physical ability to read a large amount of information in a timely manner.
Registration or Licensure Requirements:
Initial Selection Criteria:
Graduation from an accredited high school or GED plus six (6) months of work experience in secretarial work. Additional related work experience may substitute for the required education on a year-for-year basis with a maximum substitution of two (2) years. May be required to have a valid Texas driver license with a good driving record. Experience using Microsoft Outlook, Word, and Excel. Experience writing letters/memos. Experience answering phones and forwarding messages to appropriate people. Experience entering, verifying, and retrieving data from computer or hard copy systems. Experience maintaining inventory and ordering supplies.
Additional Information:
Applicants must pass a fingerprint criminal background check, pre-employment drug screen, and registry checks including the Client Abuse/Neglect Reporting System (CANRS), Nurse Aide, Medication Aide and Employee Misconduct and HHS OIG List of Excluded Individuals/ Entities. Flexibility in work hours may be required for this position. The position may be required to work overtime and/or extended hours.
