Inventory/Property Clerk supervised directly by the Chief Financial Officer. Works under supervision with moderate latitude for the use of initiative and independent judgment. Provides a variety of support services to Asset Management. Support services to include but not limited to clerical and moving light furniture. Coordinates with the Asst. Supt in moves. Assists in complex inventory and asset accounting capital assets and non-capitalized assets. Work involves assisting with the planning, overseeing and maintaining asset inventory records and physical inventories, receiving assets, and disposing of surplus property. Responsible for maintaining asset records in inventory accounting database for capitalized assets and non-capitalized assets. Requests inventory numbers and places asset barcode tags prior to delivery of asset to department. Performs job functions as the inventory assistant for facility. Performs data entry to keep property files current. Conducts annual inventories and produces reconciliation reports. Ensures accuracy of inventory records in the Health and Human Services Administrative System (HHSAS). Reviews and reconciles asset accounting reports generated by HHSAS and files kept locally. Maintains asset management files.
Responsible for maintaining Trust Fund
Essential Job Functions:
Coordinates and may handle the pickup, transfer, organizing and disposal of agency surplus furniture/equipment. Coordinates office moves. Assists in maintaining asset accounting records in HHSAS ensuring correct quantity, cost, description, accounting codes and requesting program information are entered. Requests inventory numbers to capitalized, controlled and leased assets from Property Management/Austin. Upon verification, enters receiving information into HHSAS. Enters make, model and serial number for inventoried assets. Ensures receiving signatures are documented. Requests numbered bar code tags for inventoried assets and distributes them to departments as appropriate. Moves furniture and equipment. Coordinates move of goods to and from salvage, storage, and surplus. The work requires physical strength, stamina, and good organizational skills.

Assist in the scheduling and posting agency surplus property for facility in Auctioneer website. Prepares documents for transfer or sale of equipment. Reviews all forms processed and assures that departments expeditiously complete according to established policies. Responsible for transfers of agency assets to and from each department. Works closely with other agencies to ensure inter-agency transfer documents are signed and tracked. Ensures accuracy of inventory records in HHSAS. Performs data entry to update system as needed.

Performs functions as the Inventory Coordinator Assistant. Oversees the preparation, accuracy and flow of asset transfer and surplus disposal documents by departments. Assists in coordinating, conducting and reconciling section inventories. Monitors compliance of asset management policies, procedures and State Comptroller guidelines. Responds to routine inquiries and advises staff regarding those policies.

Conducts annual inventory for facility. Physically scans assets with an electronic barcode reader. Downloads scanners and processes data files for uploading into HHSAS. Produces missing, overage and matching reports from HHSAS. Reconciles inventory results with asset accounting records.

Responsible for maintaining the Trist Fund system and all other activities involved in the Trust Fund operations.

Other duties as assigned include but are not limited to actively participating and/or serving in a supporting role to meet the agency's obligations for disaster response and/or recovery or Continuity of Operations (COOP) activation. Such participation may require an alternate shift pattern assignment and/or location.

Initial Selection Criteria:
Experience in Accounting especially Inventory Management and Trust fund operations
Valid Texas Driver's License
Be able to move furniture and equipment - ability to lift at least 50 lbs
Computer Skills - Excel, etc
At least HS Graduate
