Job Summary | The Administrative Assistant I (AAI) will provide administrative support to faculty, staff and students in the Biological Sciences Department (BSD), School of Natural Sciences and Mathematics (NSM). This position requires attention to detail, accuracy, and the ability to meet deadlines. The ideal candidate must have exceptional written and verbal communication skills and the ability to support multiple people and complete tasks in a fast-paced environment. We seek an individual who has a high level of integrity and professionalism. The incumbent will be detail-oriented, have excellent customer service skills, and can prioritize and complete tasks quickly. |
Minimum Education and Experience | Bachelor's degree and two years office administration or project management experience or an equivalent combination of education and experience. |
Preferred Education and Experience | Experience in Higher Education is preferred but not required. Advanced proficiency in Microsoft Office Suite, eProcurement (Jaggaer), PeopleSoft, Smartsheets and Concur travel are also preferred but not required. |
Essential Duties and Responsibilities |
Travel Administration: Processing of travel (lodging, air, rental car, per diem, etc.) and general reimbursements related to university purchases of supplies, laboratory and research supplies, and teaching supplies. Procurement: Processing of requisitions, supply ordering and purchasing goods and services online; Assist with the release and closure of purchase order encumbrances to facilitate grant project and cost center closures and fiscal year financial management. Event Coordinating: Coordinate departmental seminar series, lectures and programs and travel; Manage digital files, databases, spreadsheets, and checklists. Administrative Support: Provide administrative support to faculty, staff and students as assigned; Serve as backup to other administrative staff. |
