Basic Function

HF Sinclair in Dallas is seeking a Senior Retirement Specialist with 401k experience to provide analytical, technical and project management support for various initiatives in the benefits department. Works under minimal supervision with latitude to use initiative and independent judgment. May direct or lead the work of others from time-to-time. Responsibilities include retirement plan administration, financial reconciliation, benefit negotiation, contract review and vendor management.

Job Duties

(functions considered essential as defined by ADA)

  • Develops and implements strategies and plans outlining actions to support various benefit plan designs, ERISA requirements and employees communications
  • Oversees administration activities of various employee benefit programs, such as group insurance, life, medical and dental, accident and disability, 401(k) plan /deferred compensation plan (non-qualified plan) and COBRA
  • Ensures company compliance with federal and state laws
  • Interprets benefit policies, reviews claims and ensures all required forms and legal documents are supplied
  • Serves as liaison with carriers and providers to obtain renewals, settlements, claims and utilization data and enrollment information
  • Monitors experience and provides recommendations for enhancements or changes to existing programs consistent with benefit objectives and strategies: claims, administrative fees, utilization by service/event of all benefit plans, develops per capita costs by plan
  • Reviews and participates in negotiations on contract provisions with insurance carriers, administrators and service providers and coordinates execution of plan documents and service agreements
  • Researches and prepares reports for management on benefits issues as assigned, keeping current with trends and regulatory issues concerning benefit plan design and administration
  • Proactively partners with human resources (HR) to support the needs of the HR team and the employees
  • Consults with employees on eligibility for insurance, hospitalization and other benefits, amounts of coverage and claims procedures
  • Manages audits of benefits data to ensure integrity and compliance with management of such benefit programs is aligned with plan documents
  • Manages 401(k) compliance testing and audit processes. Proactively resolves discrepancies with vendors.
  • Leads partnership with internal and external resources to complete the annual benefit plan audit and 5500 filing process
  • Independently prepares, reviews and obtains necessary documentation for qualified plans' Internal Revenue Service and ERISA mandated submissions and employee communications
  • Leads participation in surveys and other benchmarking activities to assess programs and solutions; and assists in procurement and evaluation of bids for services or benefit programs
  • Supports and participates in the quarterly Retirement Plan Committee meetings
  • Completes special assignments or tasks assigned to the employee by their supervisor, as determined from timeto time in their sole and complete discretion.
Experience

A minimum of 8 years of benefits analysis and retirement plan experience is required.

2-5 years of 401(k) retirement plan administration and deferred compensation (nonqualified) plan preferred.

Education Level

A minimum of a Bachelor's Degree in Business Administration or equivalent combination of education and job-related work experience (w/o degree requires a total of 10 years of job-related experience) is required.

Required Skills

Advanced knowledge of ERISA, COBRA, FMLA, HIPAA, and other general retirement and welfare plan concepts or other relevant Human Resource Acts. Advanced knowledge of pensions, Human Resource management principles and practices, and administrative procedures; good word processing, database, e-mail and spreadsheet applications skills; proficient in Microsoft Word and Excel; strong ability to effectively communicate with others, both written and verbal communication, decision making and negotiation skills; detail oriented. Ability to handle confidential information including Protected Health Information (PHI) and all compliance issues in relation to relevant HIPAA regulations. Ability to perform intermediate level mathematical calculations, and an intermediate reading and writing skill level.

Supervisory/Managerial Responsibility
Work Conditions

Office-based with up to 30% travel by land and air required. Petroleum refinery and warehouse/plant environments. Subject to all weather and varying road conditions.

Physical Requirements

Job conditions require standing, walking, sitting, twisting, stooping, crouching, kneeling, talking or hearing, making visual inspections, making precise finger and hand movements, reaching or grasping, lifting or carrying up to 25lbs, pushing or pulling up to 50lbs, perceiving color differences, ability to wear personal protective equipment (beards not permitted).
