Job Description
THIS JOB DESCRIPTION DOES NOT ATTEMPT TO LIST ALL OF THE DUTIES THAT ARE OR MAY BE PERFORMED IN THIS POSITION Primary Duties 1.Provides support to attorneys and other roles on complex legal matters. 2.Prepares and distributes legal hold obligations notices and maintains records of same. 3.Oversees onboarding of outside counsel, including generating and maintaining engagement letters. 4.Assists with all aspects of billing or e-billing system including working with internal resources to ensure timely payment of vendor invoices. 5.Oversees Secretary of State service of process and new matter intake to ensure legal documents are handled in a timely and efficient manner to comply with appropriate regulations and deadlines. 6.Assists in the search, collection, and production of emails, documents, and other records requested in the discovery process. 7.Drafts, processes, and reviews legal documents and correspondence for complex legal matters. 8.Assists in legal research, as necessary. 9.Processes and responds to third-party subpoenas. 10.Assists with drafting internal reports including litigation and claims reports. 11.Assists in the preparation for administrative proceedings or other trial preparation including witness and exhibit books. 12.Schedules witness interviews, meetings, and depositions. 13.Maintains digital and paper-based filing and organization systems for records, report, and documents. 14.Prepares presentations and coordinates communication across all legal department practice areas. 15.Arranges meetings and conferences, schedules appointments, and completes travel arrangements. 16.Provides support for ad hoc and special projects as assigned. MINIMUM REQUIREMENTS Educational/Experience Level: High school/GED and five years of legal administration or paralegal experience; or equivalent. Strongly Preferred: Experience working in a legal department Strong legal research background and skills Demonstrated ability to master new skills and systems Proven organizational skills and the ability to manage priorities Communication Skills: Requires strong communication skills and demonstrated ability to communicate effectively with internal and/or external customers to obtain and/or provide explanations and/or modifications on complex concepts. Numeric Skills: Requires the ability to perform basic addition, subtraction, multiplication, and division. Computer Skills: Advanced knowledge of various business computer applications, including Microsoft Word and Excel, to create complex documents, reports, or graphics. Work Conditions: Works in an indoor environment. Requires frequently performing activities, including, but not limited to, stooping, bending, kneeling, grasping, reaching, climbing, and lifting.
