Job Description

Marcum LLP is seeking a Receptionist to join our growing and well established Operations Department in Houston, TX. The receptionist is responsible for greeting and directing visitors who are calling and entering establishment. Provide assistance with general office administration responsibilities as requested.

Responsibilities:

  • Handle oneself professionally and address the needs of our employees, clients and vendors in a welcoming and professional manner
  • Demonstrate strong organizational and follow-up skills
  • Open and close the office each day on a timely basis and schedule conference rooms.
  • Daily bank deposit and process vendor invoices.
  • Manage all incoming and outgoing mail, including special types of delivery.
  • Maintain supplies for mail processing (including conducting an inventory monthly)
  • Maintain the supplies and cleanliness in kitchens and the general public space
  • Order, set up and clean up food service for events and snacks/drinks for employee kitchens
  • Send, receive and log all messenger, FedEx, UPS and USPS services.
  • Coordinate catering for internal meetings and events as necessary.
  • Coordinate maintenance requests with the building.
  • Assist HR with New Hire Orientation, Office Tours, Paperwork as needed
  • Assist Marketing with Internal Meetings/Events as needed
  • Responsible for staff scheduling for assurance and tax groups.
  • Responsible for creating, updating and formatting various types of correspondence including but not limited to, form letters and financial statements by following word processing guidelines of the firm
  • Format, proof changes, finalize and bind financial statements
  • Create and format tables in Microsoft Word
  • Work with Excel Styles and formulas
  • Process financial statement routing slips
  • Update financial statements logs

Qualifications:

  • Demonstrated knowledge of basic business, technology, switchboards and general office administration.
  • 1-2 years in a relevant position. Accounting or Law firm experience preferred.
  • Excellent written and strong communication skills and follow-through are required. Including the ability to communicate effectively at every level of the organization.

  • Effective written and verbal communication skills
