Title: Guardianship Accounting Specialist I
Supervisor: Guardianship Program Manager
Status: Non-Exempt

Function:

Project Amistad is responsible for the client’s financial well-being. As a result, this position is given the responsibility to administrate and document the client’s funds. This includes maintaining budgets, paying bills on time, preparing checks to meet the client’s expenses, and coordinating the distribution of these funds appropriately. The Accounting Specialist completes monthly account reconciliations, prepares and/or sends invoices to appropriate entities. The Accounting Specialist is also responsible for preparing annual accountings, reports, inventories, expense requests, and other court documents as needed. The maintenance of financial reports are crucial to the Agency and imperative on the accuracy of such reports are completed in a timely manner.

Essential Job Functions:

1. Analyze client’s financial status by reviewing his/her financial records such as bank accounts, savings accounts, monthly income, etc.
2. Ensure that client’s bills are paid on time (Applied Income, Room & Board, Foster Home Payment, medical bills, etc.,) and that client’s personal financial needs are met through the preparation and documentation of funds given to client (spending money).
3. As scheduled, prepares and sends department billing to appropriate department and/or entity.
4. Maintains accounts for all financial transactions by keeping an accurate record of all receipts, invoices, and checks for each individual client’s bank account in a timely manner.
5. Completes monthly reconciliation of all accounts assigned.
6. Advises appropriate staff of any changes that may arise on any particular clients’ accounts.
7. Prepares final and annual accounting and inventory reports for Court approval, as well as other reports as may be added or assigned from time to time.
8. Prepares correspondence and miscellaneous reports, letters, documents, etc. to vendors, financial institutions, agencies, businesses, county clerks, county judges, and/ or probate judges etc. as may be required.
9. Maintains communication with attorneys, county clerks, and judges on all agency guardianship cases with regard for the preparation of all appropriate court documents.
10. Maintains records of such correspondence in the appropriate file.
11. Keeps supervisor informed of any financial concerns and/or issues such as; lack of receipts, and possible tardiness of documentation turned in by staff, etc.
12. Maintains a running record of all incoming documents and correspondence regarding clients.
13. Assists the program supervisor with meeting contract guidelines by ensuring documents are filed with the county clerk within the time outlined by the Texas Estates Code.
14. Maintains all accounts whether payable or receivable.
15. Completes financial documentation on applicable forms and/or applications.
16. Prepares monthly payments by either check and/or by debit card disbursement.

Qualifications:

1. Associates Degree in accounting is preferred, 2 years bookkeeping experience, or three years work experience in an office setting with related duties.
2. Must have a current driver license and show evidence of meeting state requirements of having the appropriate level of automobile insurance.
3. Proficient computer skills with experience in icloud software systems, Microsoft Office, spreadsheet applications and related software programs.
4. Excellent skills in writing and professional communications.
5. Work experience in a customer service environment such as: customer relations, proper telephone etiquette, etc.
6. Ability to lift and carry up to 35 pounds (from time to time).
7. Knowledge of community resources.
8. Ability to attend training and other sessions which may be scheduled after working hours or outside the city limits.
